Define what a backup must restore
Configuration, voicemail, recordings, certificates and custom files can have different sizes and recovery priorities. Inventory what the installed Backup and Restore module includes and what other services need separate protection. A successful job notification does not prove every required item was captured.
Set a recovery point objective in ordinary terms: how many hours of configuration changes or messages can the business afford to lose? Use that answer to choose the schedule rather than copying a nightly default.
Keep copies outside the PBX
Choose an approved remote destination and credentials limited to the backup task. Protect archives because they may contain extension secrets and private recordings. Keep a recovery copy or access path that does not depend entirely on the failed PBX’s own credentials.
Stagger large recording backups away from busy calling periods and measure duration. Retention should leave enough recovery history without silently filling the destination. Check free space and failed-job alerts as part of routine operations.
Verify each job at two levels
First confirm the job completed and the expected archive arrived. Then sample the contents and periodically perform a complete isolated restore. A zero-byte file, truncated upload or undecryptable archive can survive a superficial “file exists” check.
Document the archive date, module version and destination. Keep encryption-key recovery under separate control so restoring the archive does not require a secret stored only inside it.
Practice before the incident
Use the restore testing procedure and record the measured recovery time. Retest after changing storage providers, encryption, module versions or backup selection. Delete old copies according to the organization’s retention policy rather than letting every copy accumulate forever.
