Begin with room behavior
A shared meeting room differs from a personal desk. Participants move, speak at different distances and may join several kinds of meetings. Decide whether the requirement is an independent SIP conference phone, a computer-connected speakerphone or an integrated room system.
Check the actual audio layout
Test pickup at the farthest seats, background noise and simultaneous speech. Manufacturer room-size guidance is a starting point; reflective surfaces and furniture affect the result. Confirm supported expansion microphones and their placement.
Keep joining simple
Document who owns the room account, how calls are started and how guests join. Verify mute, volume, hold and meeting termination. An unattended room account should not have unnecessary external calling permissions.
Plan power and support
Include PoE or adapters, network access and firmware management. Test the room after a restart and after a platform update. Provide a concise recovery instruction and an accountable support owner so the first minutes of each meeting are not spent reconstructing the configuration.
