Decide who owns the operating work
Hosted VoIP places the phone platform under a service provider's operation. Self-hosted VoIP puts your organization or its contractor in charge of the PBX, whether it runs on office hardware or a rented virtual server. A VPS is still self-hosted when you own the software and recovery work.
Hosted service can suit a small team without an administrator. Self-hosting can suit a team needing dialplan control, particular integrations or a deployment pattern a hosted platform does not support. Neither model removes the need to manage user permissions and local connectivity.
Operating responsibility changes. Both approaches still need endpoint, network and continuity planning.
Compare a full operating year
List recurring seats, trunks, numbers, hosting, support, backups and any paid modules. Add installation, number migration, handsets and training separately. Include the time required for patching, incident response, certificate renewals and restore exercises. Free software can still have substantial operating cost.
Compare like-for-like workflows. A hosted package with managed devices and support is not directly equivalent to an unmanaged VM plus a metered trunk. Conversely, buying a premium hosted bundle for features no one needs can obscure a simpler option.
A practical decision exercise
Imagine the phone system is unavailable on a Monday morning. Who receives the alert? Who has access? Can that person diagnose the carrier, PBX and network? How long would it take to restore service without the original administrator? Ask the same questions of a hosted supplier's escalation and continuity process.
If the answers depend entirely on one unavailable person, address that dependency before expanding the platform. Documentation and a second competent operator are part of the system.
Move forward with evidence
Pilot a small group using real workflows and a noncritical number. Check audio, transfers, queues, remote use and support response. Keep number porting separate from the first technology experiment.
