Treat the mailbox as a service
A mailbox needs a destination, greeting, access PIN, owner and retention policy. In FreePBX, voicemail is configured through extension-related and voicemail administration controls; do not look for an independent application with every possible mailbox setting.
Choose which unanswered or busy calls reach the mailbox. For a shared department, assign responsibility for retrieving messages and covering absences. A message arriving successfully is not useful if nobody owns the next action.
Set up and validate access
Enable voicemail for the intended extension, use a nontrivial unique PIN and record the appropriate greeting. Verify the configured feature codes in the local system; familiar defaults may have been changed. Submit and Apply Config after the relevant configuration changes.
Call from another extension, leave a message, retrieve it and delete the test message. Verify that the message-waiting indicator clears. Then repeat through the external number so routing and carrier DTMF are exercised too.
Test email without losing messages
Configure an approved mail delivery path and confirm receipt in the real recipient mailbox. Check spam handling, attachment size and the address of shared destinations. If delivery fails, inspect the mail system before changing voicemail credentials.
Do not enable deletion after email until the organization accepts the recovery consequences. Email notifications, mailbox storage and backup retention are separate copies with separate access and deletion behavior.
Diagnose the failing layer
No greeting points toward routing or mailbox selection. A saved message with no lamp points toward subscription or notification behavior. A lamp with no email points toward mail delivery. Use the voicemail troubleshooting guide to isolate the layer and retest after changing one setting.
