Treat the app and assigned 8x8 service as separate layers
8x8 Work for Desktop, Web and Mobile are clients for an assigned 8x8 service rather than generic SIP softphones for arbitrary registrar credentials. Sign-in establishes an authenticated client session; it does not by itself establish a calling license, extension, direct number, external-calling permission, queue membership, selected calling device, emergency address or successful call path.
Record tenant or PBX, site, user, license, extension, direct number, shared or queue role and client path before comparing behavior. The app site map is capability-sensitive, so a visible or missing feature can reflect licensing or profile policy rather than an installation fault.
Pin desktop, Web, mobile, package and lifecycle evidence
Retain native desktop, browser Web, mobile, VDI or desk-phone path; operating system or browser; package source; app-reported build; installation owner; and update owner. 8x8 publishes a desktop download record and a separate version end-of-life schedule. A downloadable build, a generally available release, an update prompt or a lifecycle date does not prove which build handled the affected call.
The download and lifecycle records change over time and can use different publication cadences. Check the current official records during an incident, preserve the original failing build before updating, and do not transfer desktop support conclusions to Web or mobile.
Keep extension identity, calling device and presented number distinct
For one call, retain the assigned extension and direct number, external-calling permission, queue or ring-group role, selected calling device, entered destination, chosen or configured caller identity, 8x8 acceptance, downstream presentation and final call state separately. Desktop softphone, Web, desk phone and another callback number are different originating paths even when they share a user.
A visible Phone area, successful sign-in, contact lookup or working message does not prove external-call entitlement, selected device, carrier acceptance, destination reachability, alert, answer or media. A successful call from another device narrows the boundary without transferring its routing or identity to the failing client.
Trace route, DND, notification, ringtone and answer independently
8x8 documents that Do Not Disturb routes calls to voicemail and disables desktop notifications, while notification settings and operating-system preferences can separately affect visual pop-ups and sounds. Queue login, call forwarding, voicemail and the selected endpoint can also change where a call lands.
For one controlled non-emergency call, preserve provider attempt, 8x8 route, extension or queue target, forwarding or voicemail decision, presence, app or operating-system notification, visual alert, ringtone output, answer action and final answering endpoint. A history row, missed-call notification, voicemail or another device answering does not prove that the affected client displayed or sounded an alert.
Separate local audio, utility results, live packets and call quality
8x8 Work exposes microphone processing and in-call connection indicators. The separate Network Utility checks a bounded path using DNS, connectivity, NTP, NAT, ALG, media, fragmentation, traceroute, bandwidth and bufferbloat tests. These are investigation signals, not the affected production call.
For one call retain selected microphone and output, operating-system permission, signaling, both packet directions, codec, authorized quality indicators, decoding and what each party heard. A green connection indicator, utility pass, threshold, recommendation or alternate-network success does not by itself prove the user experience, root cause or restoration.
Bound support, outage and emergency-location evidence safely
8x8 distinguishes product feedback from support cases. Preserve the authorized incident window, app build, sanitized diagnostic artifacts, case, provider finding, action and verified restoration as separate records. A public outage notice, forwarding plan or support response does not prove one user route failed or recovered.
Emergency address, site default, user override, validation result, Nomadic 911 eligibility, Emergency Routing Service record, Location Manager state, detected network, 933 address playback and actual emergency call path remain separate. Use only the provider-approved non-live validation workflow; never place an uncoordinated live emergency call as a test.
