Treat the Teams client and Teams Phone service as separate layers
Microsoft publishes Teams as a service-bound family of desktop, web and mobile clients. Teams Phone adds external calling and phone-system capabilities through tenant licensing, voice enablement, phone numbers, calling policy and a selected PSTN connectivity option. The Teams client is not a generic SIP softphone for arbitrary registrar credentials.
Keep the exact tenant, cloud, account, client path and Calls-app surface with each observation. A successful Teams sign-in, chat, meeting or internal call does not establish Teams Phone entitlement, a dial pad, PSTN routing, an assigned number or emergency readiness.
Pin desktop, web, mobile, VDI and update evidence
Record operating system, architecture, package owner, app-reported build, update ring, browser and whether the client is desktop, web, mobile or VDI. Microsoft documents Windows and macOS desktop clients, supported desktop browsers, iOS and Android clients, and Linux access through web or PWA while marking the Linux desktop client unavailable.
Teams for Web is not supported on mobile browsers or in VDI. A published requirement, automatic-update policy, available package, client-health version row or restarted process remains separate from the build actually used for the affected call.
Prove every dial-pad and PSTN prerequisite independently
Microsoft documents the Teams Phone license identified by an enabled MCOEV capability, online homing, Enterprise Voice enablement and Make private calls policy as dial-pad prerequisites. A usable external dial pad also requires an applicable PSTN option such as Calling Plan, Operator Connect, Teams Phone Mobile, Direct Routing or Shared Calling.
Retain assigned plan, effective policy, user or resource-account type, number assignment, voice route and PSTN option as separate records. A visible dial pad does not prove the presented caller identity, carrier route, destination acceptance, alert, answer or media.
Separate service routing, app notification and device ringing
Incoming behavior can be changed by forwarding, simultaneous ring, voicemail, delegation, call groups, queues, quiet-time choices, device notification permission and per-device ringtone settings. Microsoft documents that mobile call notifications are sent even when the user is active on desktop, while other mobile notification behavior can be blocked when active elsewhere.
Preserve provider attempt, Teams service route, target identity, app notification, visible alert, selected primary device, secondary ringer, answer and final answering endpoint separately. A missed-call row, badge, voicemail or another endpoint answering is not evidence that the affected client rang.
Keep local device checks, network path and media telemetry distinct
Teams exposes separate microphone, speaker, camera and secondary-ringer choices. The Make a test call feature is documented for Windows and Mac desktop clients; its playback is a bounded local client and service check, not proof of PSTN routing or the media path of a different call.
For one call retain DNS, route, VPN, firewall, service signaling, both packet directions, selected devices, decoding and what each party heard. Teams admin call telemetry can narrow a session, but completed records may take 30 minutes to two hours to process and an issue marker does not by itself prove user-perceived degradation or one root cause.
Handle client health, logs, location and support as bounded evidence
Client health crash, launch-failure and update-failure trends remain different from call routing or media evidence. Microsoft documents remote client-log collection for Windows non-VDI and Mac, role restrictions, silent collection, 30-day storage and a possible eight-hour preparation delay. Locally collected logs can contain data for every account signed into the client.
Collect only an authorized occurrence window, sanitize unnecessary tenant and user data and use the approved support channel. Emergency policy, user or network-site assignment, operating-system permission, Teams location consent, detected location and call routing remain separate; use an approved non-live verification plan. Log submission, telemetry and policy presence are not diagnosis, restoration or emergency outcome evidence.
