Productivity licensing and telephone service are separate decisions
Define the desired user experience
Decide whether employees need public telephone calling inside Teams, a separate phone application, or a coexistence arrangement. Internal collaboration calls are not the same service as calls to ordinary telephone numbers. Inventory reception, shared-area phones, support queues and analog devices before assuming the desktop collaboration experience covers the entire organization.
Features and licensing to research
Microsoft documents Teams Phone as PBX and call-control capabilities, with appropriate licensing and a PSTN connectivity solution. Treat those as separate items in the comparison. Evaluate number availability, queues, auto attendants and required integrations in the proposed configuration. Keep user licenses, resource accounts, connectivity and optional services visible in a written bill of materials.
Network requirements
Pilot calling from the office, home networks and mobile locations. Compare the approved media path and required network access with the organization’s security policy. A healthy Microsoft 365 sign-in does not demonstrate good voice performance. Collect timestamps and location details for poor calls, and agree which team investigates tenant settings, connectivity and carrier service.
Endpoints and accessories
Start with the exact client and certified or explicitly supported hardware for the chosen calling arrangement. Do not assume every SIP desk phone in a general hardware catalog is interchangeable with a Teams endpoint. Check headset controls, shared-device sign-in and reception accessories. Reuse existing devices only after confirming the provider’s supported provisioning path.
Hosted, integrated or independently operated?
Teams Phone is a cloud service; an independently operated PBX or another hosted provider can still be considered for workflows it does not address economically or operationally. Compare separate applications, coexistence and integration on user effort and support ownership. Avoid adding integration layers simply to preserve an undocumented legacy configuration.
Mistakes and buyer questions
Do not assume a Microsoft 365 subscription automatically supplies the complete telephone service. Ask who owns numbers, porting, carrier faults and after-hours escalation, and how a user or location change is administered. Use the current provider research as an evidence starting point and obtain a configuration-specific quote and supported-device list for your market.
